JOB TITLE: Production Coordinator, Documentary Series

REPORTS TO: Production Manager

OVERVIEW: VICE Media is seeking an experienced coordinator to join the team and support our exceptionally busy Production Manager. You will be assisting with all administrative tasks to aid the smooth running of the department. This role is almost entirely office based, you will only attend shoots on the rare occasion.


  • Manage spends and ownership of invoicing process.
  • Maintaining and updating production schedules for weekly and monthly reporting.
  • Organise and process the paperwork related to insurance cover for action vehicles, rental cars, office equipment, etc.
  • Write and check risk assessments and ensure shoots are conducted in as safe a way as possible.
  • Responsible for ensuring the completion of all admin related tasks to the delivery of a film, including red sheet, music cues and licensing paperwork and circulate to necessary people.
  • Responsible for checking reconciliation of all petty cash and credit cards for Vice Production shoots.
  • Ordering equipment, supplies and their collection.
  • Coordinate International travel, accommodation, work permits, working with local fixers on worldwide capacity. And fallow procedure to obtain visas for cast and crew.
  • Distribute shooting schedules, crew and cast lists where necessary.
  • Booking personnel, once the Production Manager has negotiated acceptable terms.
  • Preparing, updating and distributing crew lists and call sheets.
  • Organize the use of courier and shipping companies.
  • Closing accounts with suppliers, returning surplus stock, tying up all loose ends, and ensuring that office files are stored safely, and in a suitable format, so that information can be easily accessed by other personnel when required.
  • Put together “Legal Binders” and “Wrap binder” under the direction of Production
  • Follow up and make sure talents’ agents sign all appropriate Personal Releases and Riders.


  • Experience in a production role is essential.
  • Previous experience working on international documentaries is desirable.
  • Advanced Excel skills, good attention to detail and a helpful team player.
  • Must have experience organizing finances.
  • Experience in running budgets is desirable
  • Experience in writing and organizing production schedules including post-production is desirable.
  • Must be multi-tasker and able to meet tight deadlines.
  • Have strong communication skills, both written and oral, and good numeracy skills.
  • Be able to work calmly under pressure and without constant supervision.
