Artistic Administrator

The Artistic Administrator reports to the Executive Producer
Drayton Entertainment is a registered, not-for-profit charitable organization and one of Canada's most successful professional theatre companies. We present the finest in live theatre for all ages at seven unique venues across Ontario: the Drayton Festival Theatre in Drayton, Huron Country Playhouse and Playhouse II in Grand Bend, King's Wharf Theatre in Penetanguishene, and St. Jacobs Country Playhouse and the Schoolhouse Theatre in St. Jacobs, and the Dunfield Theatre Cambridge.
Responsibilities include but are not limited to:
Assist with:
  • Distribution, collection and resubmission of contracts to Equity and PACT
  • Creation and distribution to CAEA of artistic checklists per production, per venue
  • Management and distribution of contact and distribution sheets to Stage Management
  • Preparation and distribution of production material including scripts, scores, orchestral books
  • and account for all prior to returning to distributor
  • Acquisition and dissemination of artists’ measurements and payroll information
  • Execution of artistic contractual obligations (accommodations, car rentals, flights)
  • Scheduling, in coordination with production staff and stage management, and drafting of all
  • required notices for archival videos of each production and subsequent filing of each
  • Archiving all prompt books, show reports
  • Management of the company cast list and update regularly with role assignments. Inform the
  • Marketing Department with any last-minute changes that may impact current projects, such as
  • insert printing, website, e-marketing
  • Orientation of artistic and production personnel regarding the theatre’s administrative goals
  • Representation of the artistic department at Drayton Entertainment events
  • Reading and responding to scripts as directed by Artistic Director
  • Knowledge of all agreements that are shared with associations and unions affiliated with
  • Drayton Entertainment (Canadian Theatre Agreement, American Federation of Musicians, Associated Designers of Canada)
  • Overseeing new accommodation possibilities in all locations
  • Continuous administrative management of the on-site accommodations which includes creating, cleaning schedules in conjunction with the facility manager, management of all bookings including incoming artists, communication with payroll to ensure accurate deductions are being made, drafting notices for residents and responding to any individual requirements
  • Sole coordination and management of all youth auditions including supplying audition requirements promotional copy to marketing, creation and management of Sign-up Genius website, creating schedules for artistic team, and all 'day of' logistics
  • Sole management of the youth program and youth companies and main point person for any inquiries which includes communicating with each parent in acceptance or rejection emails, creating teams, creating performance schedules, disseminating wardrobe requirements, providing ticketing information, providing marketing/ box office with all youth company related information (contacts, schedules, promotional copy)
  • Continuous maintenance of all incoming audition inquiries and other communication required for publicity of youth and community auditions
In conjunction with our Marketing Department, assist with:
  • Acquisition of all artistic marketing requirements for production inserts including bios, headshots, musical running orders, billing requirements in keeping with printing deadlines
  • Provision to the marketing department of all riders to production contracts
  • Provision to the marketing department all information pertaining to contractual obligations such as artist billing, special ticket and/or credit arrangements
  • Final proofing of artistic elements related to website, inserts, media releases and public displays
  • Provision to the marketing department of all content for the Drayton Entertainment website that pertains to artists, youth and community auditions, and special programs developed by the Artistic Department (such as Youth Musical Theatre Program)
  • Liaison to artists for publicity including interviews for radio, print and television media and blogs; and promotions including guest appearances
  • Coordination of all publicity recordings per production (video and photo shoots) and the subsequent distribution of content to the artistic company
  • Distribution of all production reviews and media coverage to the artistic company
  • Creation, distribution and maintenance of all artistic Opening Night invitations and connecting with marketing to communicate any specified ticketing requirements
Plus other duties as assigned.
This position is based in Cambridge, Ontario.
