Office Administrator

We are seeking an eager self-starter to join our JoyTV division in Surrey, BC as an Office Administrator. If you are looking for a challenging and exciting new opportunity; this might be the right fit for you!

 

Key Accountabilities

 

  • As an integral member of the JoyTV team, you will be responsible for supporting each department as needed, including sales, creative services, production and administration
  • Manage weekly revenue report for BC sales team- utilizing WideOrbit
  • Calculate monthly commissions for sales reps
  • Maintain client database- Salesforce
  • Complete, submit, and obtain appropriate approvals for expense reports
  • Interact with sales reps and clients on day-to-day basis relating to overall maintenance of accounts
  • Oversee seasonal schedule changes and impact on contracts
  • Create and distribute sales presentation materials and templates in PowerPoint and PDF
  • Book and maintain all on-air contracts
  • Work with accounting department to ensure proper billing/invoicing of agencies/advertisers
  • Make bank deposits as required and communicate information to accounting
  • Manage petty cash
  • Coding of all invoices
  • Track all local mosaic payments and discrepancies
  • Maintain related sales files and office records
  • Organize/coordinate all company functions- staff appreciated, client appreciation
  • Maintain photocopier, office supplies and light kitchen duty
  • Coordinate conference calls
  • Greet all guests and clients
  • Accept, administer and manage inbound/outbound mail, including priority post, packages, couriers and other correspondence
  • Handle traffic news scheduling
  • Maintain social media posts and updates
  • Coordinate with head office in Toronto for any technical support issues, rebooting etc.
  • Be an active member of the Health and Safety Committee
  • Coordinate requirements with office cleaners
  • Coordinate new hire security set up with head office

 

Qualifications

 

  • 3-5 years office administrator experience is required
  • The ability to work independently, without a great deal of supervision
  • Excellent computer skills, including the use of Microsoft Office suite
  • Excellent customer service skills, including the ability to work with professionalism and diplomacy
  • The ability to work as a member of a team; experience coordinating with vendors, customers and a head office, is considered a strong asset
  •  The ability to multi task and have that ‘roll up your sleeves’ attitude
