NABET 700-M UNIFOR represents over 3,000 Film, Television, and New Media Technicians in the province of Ontario.
Job Description
- Answering email general queries and telephone queries regarding membership and Permittee status
- Database management
- All website updates and maintenance
- Updating the Hotlist online weekly and emailing it to Members via Mailchimp
- Processing requests for Member usernames and passwords
- Inputting online resumes/portfolios and administration of the resume section of the website
- Preparing all required documentations and set-up for monthly meetings (i.e. Workshops, Executive Board, Department and General Meetings on an as needed basis)
- Mailings
- Filing and photocopying production and Member documents
- Scanning and backing up of archived documents
- Mass emails
- Filling in for reception and call stewards
- Miscellaneous administrative tasks
- Attend Departmental Meetings and General Meetings as required
- Filmsafety.ca website updates
- Website/Mailchimp troubleshooting for Members
- Enter into Filemaker all Member/Permittee address updates and inform Matheis of all changes
- Northern address reconciliations for all technicians working on Northern shows
- Handle inquiries about the Apprenticeship program and onboard interested applicants
- Prepare Health and Safety USB's for the Business Agent as requested
- Check dispensation show call sheets for Members/Permittees
- Other duties as assigned by Management
Requirements:
- Minimum of 1-2 years experience working in an administrative assistant capacity
- Post-secondary education
- Excellent written and verbal communication skills
- Strong organization and planning skills
- Exceptional time management skills with the ability to multi-task, prioritize workload and meet deadlines
- Great listener with the ability to follow direction well with minimal supervision
- Ability to work under pressure
- Punctual
- Attention to detail, problem solving/critical thinking skills and troubleshooting abilities
- Computer savvy and working experience with MS Office, CMS, Outlook, web tools and Social Media Platforms
- It would be considered an asset if you have intermediate to advance skill level in Excel
- Willingness to carry out a variety of tasks and voluteers readily
- Positive attitude and a team player
- Occasional weekend and evening work required
