Executive Assistant

Toronto based company looking for a full-time Executive Assistant. Film Finances Canada is a subsidiary of Film Finances International, the world leader in completion bonding. Film Finances Canada has been providing completion guarantees to Canadian producers for more than 40 years.

Your responsibilities will include:

  • Assisting the President and Vice President
  • General organization of the office including ordering and maintaining the supply inventory
  • Arranging travel for all members of the team
  • Trouble-shooting/problem solving IT issues and liaising with external IT company as required
  • Co-ordinating invoices and assisting with bill payments
  • Maintaining accounting files as well as some light bookkeeping and banking duties
  • Liaising and coordinating with corporate controller
  • Liaising with cleaning staff and building management
  • Coordinating the flow of documents from outside sources and within the company
  • Organizing, preparing and shipping files to off-site archives
  • Interfacing with suppliers and vendors, including employee benefits company
  • Booking meetings
  • Organizing corporate events
  • Liaising with the other offices of Film Finances internationally
  • Maintaining an office equipment inventory
  • Maintaining office administrator information including usernames and passwords for all staff emails, phone systems, etc.


Job Requirements:

  • Minimum of 2 years experience working as an Executive Assistant
  • Solid IT knowledge (Windows 10; Office 365; Outlooks; Excel; etc.)
  • A passion for organization and an eye for detail
  • Excellent written and verbal communication skills
  • Ability to work independently as part of a small team
  • Be creative and propose new solutions
  • Has a desire to learn new skills and take initiative
  • Knowledge of the film business including understanding of basic production paperwork is an asset
  • Basic bookkeeping or accounting knowledge is an asset
  • Sense of humor and positive attitude are essential requirements
