The Canadian Film Centre Media Lab (CFC Media Lab) is an internationally recognized leader in the development of transformational technologies, businesses and entrepreneurs. Job Summary: The Program Administrator provides programming and administrative support to the CFC Media Lab’s Fifth Wave Initiative, which includes: delivering on program logistics, maintaining financial & administrative processes, building strong communications and relationships with Key stakeholders, and systematizing Salesforce campaigns. This role is suited for someone who is customer-service oriented, tech-savvy, motivated by social purpose and thrives in a creative, adaptive, non-profit environment.

 

Responsibilities:

 

Administration Support

•    Integrate and implement CFC standards and office policies

•    Manage office operations and administrative procedures

•    Manage workback schedule and calendar bookings

•    Complete contract requests and invoice processing

•    Assist with budget tracking/planning

•    Prepare FedDev time sheets

•    Oversee/complete financial processes as required

•    Review and approve supply requisitions and order as needed

•    Oversee/handle all internal and external guest travel as required

•    Ensure program memberships are maintained in database

•    Maintain office equipment and space (when in person activities resume)

•    Ensure Media Lab staff calendar is continually updated

•   Maintain annual event list – required for insurance/reporting purposes

 

Program Support

•          Manage application intake, adjudication process, contracts, invoices & service delivery schedule

•          Coordinate Fifth Wave workshops planning & oversee logistics from initial stages, set- up and execution (virtual and in-person)

•          Participate in Key stakeholder communication and liaising (i.e. founders, guests, mentors, etc.)

•          Systematize Salesforce campaigns coordination and workshops/event set-up

•          Administer the delivery of evites and tracking RSVPs

•          Source and visit venues where applicable (when in person activities resume)

•          Analyze program budgeting, assist with forecasting and track spending

•          Communicate with and mobilize with the internal CFC operations team as required

•          Manage the set-up/break-down for workshops/meetings etc.

•          Assist in workshops and programming post-mortems & ongoing stakeholder communication

•          Manage calendar updates and meeting schedule

•          Monitor industry events and input into calendar

•          Manage creating supporting program documentation i.e. manuals, one-sheets and agendas

•          Source of communication support for program-related activity

•          Other duties may be assigned as determined

 

Required Qualifications:

  • 2+ years of work experience in an administrative role and tech savvy
  • Previous experience working with entrepreneurs is considered an asset
  • Experience working with and a working knowledge of best practices for each: Google suite, Microsoft Office, Outlook
  • Experience managing a team calendar with multiple inputs and stakeholders
  • Detail-oriented, highly organized, and efficient with systems processes, tools and databases
  • Ability to prioritize work around competing deadlines
  • Strong progressive interpersonal skills with a customer-service mindset
  • Familiarity with tools like Slack, Salesforce, Forms Assembly, Calendly, Zoom, Trello is considered an asset
