Production Coordinator

Organization Description

Images Festival is a platform for the exhibition and discourse of independent film and media art that aspires to elevate conversations between artists, scholars, and the public about the politics of the moving image.

Created in 1987, Images has spent the last 35 years presenting media works that are challenging in their form and content. Images showcases the intersection of emerging and established practices and invites open critical dialogue in the film and media arts community around the political herstories of moving image production, distribution, exhibition, and representation. Based in Toronto, the festival includes screenings, exhibitions, performances, events, educational initiatives, and online presentations.


Job Description

The Production Coordinator will play a central role in supporting programming and outreach at the 36th Images Festival (April 13-26, 2023). This contract position supports all aspects of Images Festival’s in-person and online programming and events, including event coordination, planning receptions and parties, securing permits and licences, coordinating volunteers, and sourcing equipment. Working under the supervision of the Executive Director, the position is ultimately responsible for coordinating the festival’s events and activities.


The main duties for Production Coordinator include:

  • Create Run of Shows / Function Sheets for all live and online screenings and events
  • Plan parties and organising dinners and receptions, with support from the Programming Coordinator
  • Provide on-site event support at the above listed events taking place in advance of and during the Festival, by overseeing cash float at bar, drink tickets, managing food and beverage including load-in, deliveries, and clean up, setting up step and repeats and other printed materials onsite
  • Volunteer outreach and supervision
  • Secure permits, licences, and permissions for events, including Special Occasions Permits
  • Provide logistical support to performers (DJs, musicians, artists) for events including: managing set up and load out times with venues, getting situated at venues for talks and Q&As, etc.
  • Coordinate equipment rentals and sourcing materials for all events
  • Provide support to Box Office and Front of House for in-cinema events, as needed
  • Ability to lift and carry objects up to 40 pounds
  • Support the Executive Director with festival-related tasks as assigned
  • Participate in the Festival post-mortem in May 2023


Skills and Experience:

  • A minimum of 2 years of event coordination experience
  • Experience working with a film or arts festival will be considered an asset
  • Possess a solid understanding of Google Sheets and/or Excel
  • Strong time-management and organizational skills
  • Must have excellent writing and editing skills
  • Be able to communicate clearly and effectively



This is a part-time contract position reporting to the Executive Director and based in Toronto. Work will be undertaken in a hybrid format, with a combination of work being done remotely, in-office at our 401 Richmond St West office, and onsite at our festival venues.

The position of Production Coordinator will commence on February 20, 2023, and end on May 19, 2023. The rate of pay is $23.25 per hour + 4% vacation pay minus applicable taxes and CPP/EI contributions for approximately 378 hours (weekly hours will vary between 21 hours per week and 35 hours per week).
